Calendar and scheduling

An AI calendar assistant for Google Calendar: what it does and where it stops

Updated 20 October 2026

If you run a small business or work for yourself, your calendar is probably the busiest document you own. Clients ask for times, a supplier needs moving, and a quiet Thursday turns into three overlapping calls because nobody looked. An AI calendar assistant is meant to take the looking, the checking and the rearranging off you.

Here is what that means in practice with Google Calendar, one morning of it from start to finish, how it differs from a booking-link tool, and the things it will not do. The aim is that you can decide in a few minutes whether it is worth a trial.

What an AI calendar assistant actually does

The word “assistant” covers a lot of ground, so here is the concrete list. Once your Google Calendar is connected, you can talk to it in ordinary sentences, typed, from the chat app on your phone:

  • Check the day. “What have I got tomorrow?” gets you the meetings in order, with the gaps between them pointed out.
  • Find free slots. “When am I free for an hour on Thursday afternoon?” It reads your calendar and offers times that really are empty.
  • Book or move a meeting. “Put a call with Dan on Friday at 10:00” or “Move my 2 o’clock to the same time tomorrow.” It makes the change and tells you what it did.
  • Send a morning agenda. You can ask for a schedule that arrives every weekday at a time you choose, in Telegram, WhatsApp or another chat app you have connected. It runs while your laptop is shut.
  • Prepare you for meetings. If Gmail is connected too, it can look through related email threads and give you a few lines of background before a meeting: what was agreed last time, what is still open.
  • Remind you who to chase. Tell it “remind me on Monday to follow up with anyone who hasn’t confirmed” and it does, in your chat app, at the time you set.

None of that needs you to open a calendar app and tap through screens. You ask in plain words, in the place you already read messages.

A worked example: one day with Sam

Take Sam, an independent bookkeeper (an invented example). He works from home, sees a handful of clients a week, and is usually out of the house on Wednesdays. On his first day he connected Telegram from the dashboard, asked the agent to connect Google Calendar and Gmail, then sent it this:

Every weekday at 7:30, send me today's calendar in Telegram.
List the meetings in order and mark any gap longer than an hour.
For each meeting, add one line on what the last email thread
with that person was about, if there is one.
Don't book or change anything unless I ask.

The agent sent a sign-in link for Calendar and one for Gmail, then saved the instructions to memory and set the schedule. The next morning at 7:30 this arrived on his phone:

  • 9:30, Priya (invoice query). Last thread: she asked why March was higher than February.
  • 11:00, new client intro. No earlier emails found.
  • Gap: 12:00 to 15:00 is free.
  • 15:00, Tom (year-end paperwork). Last thread: he promised to send two statements.

At 8:15 Sam typed: “Tom’s 3 o’clock is too late for me, find the next free slot after 11 on Thursday and ask me before you move it.” The agent replied with two options. He picked one, it moved the meeting, and Sam checked the calendar entry before telling Tom. Later that day he wrote “remind me Monday morning who still owes me paperwork” and got a nudge on Monday.

When a meeting has other guests, Google Calendar may email them an update when it changes. Tell the agent in plain words whether guests should be notified, and check the result: that is an instruction, not a lock. Sam preferred to write to Tom himself.

How it differs from a booking-link tool

Booking-link tools are good at one job: you share a page, other people pick a time from your open slots, and the meeting lands in your calendar without a back-and-forth of emails. If clients regularly book themselves, that is genuinely useful, and a chat assistant does not replace it.

An AI calendar assistant works from the other side. It is for you, not for the people who want to meet you. You use it to understand your own week, to arrange things when someone emails you, and to stay prepared. There is no public page; you talk to it in chat, and it acts on the calendar you connected.

Plenty of people sensibly use both: a link for clients who like to self-book, and an assistant for everything that happens around it.

Honest limits

  • It only works with calendars you connect. Google Calendar is the one described here. Other calendars are not something this page promises, so check before you rely on one.
  • It can make mistakes. A time zone misread, the wrong “Thursday”, two people with the same first name. Ask it to confirm what it is about to book, and glance at the calendar entry after anything important.
  • It does not take calls. It does not answer the phone or take voicemail. It works in chat and in your connected apps.
  • It follows instructions, it is not locked. “Don’t book or change anything unless I ask” is a rule you give it, not a technical barrier. Keep it in your standing instructions.
  • It does not decide for you. Who deserves your Friday afternoon is still your call.

Getting started and what happens to your data

  1. Start the free trial and open the chat.
  2. Ask: “Connect my Google Calendar.” The agent sends a sign-in link; sign in and return to chat.
  3. Try a one-off question first: “What’s on my calendar this week?” Compare the answer with what you see yourself.
  4. Ask for the morning agenda on a schedule, and connect Telegram, WhatsApp or another chat app so it reaches your phone.
  5. Add Gmail if you want meeting prep from past threads.

The step-by-step guide shows the screens. Your agent is a Hermes Agent, an open-source AI agent from Nous Research, hosted by ReadyHermes on servers in the EU and private to your account. When it answers a question about your calendar or emails, the text it works on is sent to an AI model provider, possibly outside the EU. ReadyHermes does not use your conversations to train AI and does not sell your data.

What it costs

The trial is 1 hour, free, no card, which is enough to connect a calendar and ask it a few things. After that Lite is $3.99 a month and Pro is $6.99 a month. These are offer prices against regular prices of $5 and $10, and they stay the same when you renew. Local tax is added where it applies. Pro has twice the CPU and memory of Lite and four times the storage; the AI allowance is the same on both.

Both plans include $1 of AI each month, roughly 100 everyday requests, renewing on your billing date. How far that goes depends on what you ask: a quick question uses little, a long prep note uses more. If it runs out, the agent tells you the renewal date, and on a paid plan you can add your own API key from OpenRouter, OpenAI, Claude, Gemini or another provider, billed by that provider.

If scheduling is one of several jobs you want help with, read an AI assistant for small business owners, or see how email fits in with can ChatGPT answer my emails. Plans are on the pricing section.

Questions

What is an AI calendar assistant?

It is an AI agent you talk to in plain words that can read your calendar and act on it: tell you what is on, find free time, book or move a meeting, and send you a daily agenda in a chat app. You still decide; it saves you the looking and the clicking.

Does it work with Google Calendar?

Yes. You connect Google Calendar from the chat by asking the agent, and it sends you a sign-in link. Google Calendar is the calendar this page describes, and it only works with calendars you connect.

Can it book meetings for me?

It can add a meeting or move one when you ask, for example 'put a call with Dan on Friday at 10:00'. It can get details wrong, so ask it to confirm before it books and check the entry afterwards. If the meeting has other guests, Google Calendar may send them an update, so tell the agent whether to notify them and check afterwards.

Is this the same as a booking link?

No. A booking link lets other people choose a slot on your public page. An AI calendar assistant works for you, from chat. It does not replace a booking page, and many people use both.

Is my calendar private?

Your agent is yours alone, never shared with other users, and kept on servers in the EU. When it works on your calendar or email, the text goes to an AI model provider, possibly outside the EU. ReadyHermes does not use your conversations to train AI and does not sell your data.

How much does it cost?

A 1-hour free trial with no card, then Lite at $3.99 a month or Pro at $6.99 a month. These are offer prices (regularly $5 and $10) and stay the same when you renew. Local tax is added where it applies. Both include $1 of AI a month, roughly 100 everyday requests.
