An AI assistant for small business owners: what it can take off your plate

Updated 20 October 2026

If you run a small business, the work you are paid for is only part of the week. The rest is admin: answering the same questions by email, turning notes into quotes, remembering who owes you money, keeping a spreadsheet of orders up to date. None of it is hard. It just never stops.

An AI assistant is useful when it does a slice of that admin inside the accounts you already use, on a schedule, and leaves the final say to you. This page covers which jobs suit it, how it compares with a human virtual assistant, a plan for the first week, and the things it should not be trusted with.

What we mean by an AI assistant

Not a chatbot on your website that talks to customers. The kind worth paying for here works for you, behind the scenes. Three things separate it from a chat window you open now and then:

  • It works in your accounts. It can read your Gmail or Outlook, check your Google Calendar and write into Google Docs and Sheets once you sign it in.
  • It keeps going without you. Jobs run on a schedule, such as every weekday at 8, while your laptop is shut.
  • It remembers. Your prices, your sign-off and the customers you mentioned last week stay in its memory, so you stop repeating yourself.

ReadyHermes gives you one of these: your own Hermes Agent, an open-source AI agent, running on a machine we look after. You talk to it in the browser or from Telegram, WhatsApp, Discord, WeChat or Feishu/Lark.

Jobs owners hand over first

Start with work that repeats, has a clear result and is easy for you to check. These six cover most of what owners ask for in their first weeks.

JobWhat you get backYour part
Customer emailDraft replies waiting in Gmail or Outlook, plus a short list of what needs you.Read, adjust, send.
Quotes and lettersA quote or letter in a new Google Doc, laid out from your notes and your usual wording.Check the figures.
Your day and who to chaseEach morning: today’s calendar, what to prepare, and unpaid invoices or unanswered quotes.Decide who to chase.
Orders and stock listsA Google Sheet kept up to date from emails, with dates, names and what was asked for.Glance over it.
A simple web pageA one-page site, such as a class timetable or an event sign-up, on its own web address.Approve the wording.
A brief on your marketA weekday summary of news in your trade, with links, sent to your phone.Read it with your coffee.

Customer email is the one most people start with. We wrote a separate page on it, can ChatGPT answer my emails, including which emails to keep for yourself.

AI assistant or a human virtual assistant?

They are good at different things, and plenty of owners end up with both. A fair comparison:

AI assistantHuman virtual assistant
CostA few dollars a month, plus AI use beyond the included amount.Paid by the hour or by a monthly retainer.
HoursAny time, including 6am and Sunday.Their working hours.
Phone callsNo. Email and chat only.Yes.
JudgementFollows your rules well; weak on situations it has never seen. Can read a situation and ask the right person.
Repetitive workDoes the hundredth inbox check as carefully as the first.Fine, but it is not the best use of a person.
MistakesOccasional, sometimes confident. Check its work.Occasional. Usually knows when unsure.

If most of your admin is phone calls, in-person errands or delicate customer relationships, a person is the better hire. If most of it is email, documents and lists, an AI assistant covers a lot of it for much less.

A plan for the first week

Take Ana, who runs a two-person picture framing shop. Here is how a sensible first week looks, one small job a day, each one checked before the next.

  1. Day 1: connect and teach. Start the trial, ask the agent to connect Gmail, and tell it the basics: shop hours, how she signs emails, and her price list for standard frame sizes. Connect Telegram so results reach her phone.
  2. Day 2: one batch of drafts. “Draft replies to customer emails from the last 2 days that I haven’t answered. Don’t send anything.” She reads them in Gmail and corrects two prices it guessed.
  3. Day 3: a quote. She pastes rough notes for a gallery order of 30 frames and asks for a quote in a Google Doc. She fixes the delivery charge and asks it to remember it.
  4. Day 4: the morning brief. “Every morning at 7, send me today’s calendar and any quote I sent more than 5 days ago with no reply.”
  5. Day 5: orders in a sheet. “Add each new framing order from my email to a Google Sheet called Orders, with the date, customer, size and collection date.”
  6. End of the week: make it routine. The email drafts become a weekday 8:00 job, next to the 7:00 brief from day 4. Quotes and the orders sheet stay as requests she makes when she needs them.

From the next Monday she starts her day with the 7:00 brief on her phone and twenty minutes in her Drafts folder, rather than an empty inbox and a blank page. The agent prepares; she still reads each reply and presses send herself.

The free trial is 30 minutes, so the first day is the trial. Days 2 to 5 need a plan. If you want a quick test before paying, do the Gmail connection and one batch of drafts in that half hour.

What it is not

  • Not a receptionist. It does not answer phone calls or take voicemail.
  • Not a decision-maker on money. Keep refunds, discounts and payments with you. It does not have your bank account and should not be given one.
  • Not your accountant or lawyer. It can tidy receipts into a sheet; it cannot sign off your tax return or a contract.
  • Not perfect. It misreads dates and guesses prices if you let it. Rules like “leave out any price not on my list” and “never send, only draft” make those slips much rarer. They are instructions it follows, not locks, so keep checking its work, especially in the first weeks.
  • Not a way to send mass email. Use it on your own customers’ messages, not to contact people who never asked to hear from you.

What it costs

Every account starts with a 30-minute free trial, no card needed. After that, Lite is $3.99 a month and Pro is $6.99 a month. These are offer prices (regularly $5 and $10), and the price stays the same when you renew. Local tax is added where it applies, billing is monthly and you can cancel any time.

Both plans include $1 of AI each month on DeepSeek V4.1 Flash, roughly 100 everyday requests, renewing on your billing date. Pro is a bigger machine, not a bigger AI allowance. Daily scheduled jobs use more than one-off questions, so if you run several every day you may want to add your own key from OpenRouter, OpenAI, Claude, Gemini or another provider; that provider bills you directly and we set no AI limit on it.

The step-by-step guide shows each screen of the dashboard, and managed Hermes Agent hosting explains what we look after for you.

Questions

What is the best AI assistant for a small business owner?

The one that works inside the tools you already use and leaves you the final say. For most owners that means it can read and draft in Gmail or Outlook, write into Google Docs and Sheets, run jobs on a schedule and remember your rules. Try it on one real job, such as a morning of email drafts, before you commit.

Can an AI assistant replace a virtual assistant?

For email, documents, lists and scheduled checks, it covers much of the work for far less money. It cannot answer the phone, run errands or handle delicate customer situations the way a person can, so some owners keep a human assistant for those parts.

Do I need technical skills?

No. You ask in plain words in the chat. To connect an app, ask the agent to connect it and sign in through the link it sends. There is no server, code or API key to set up.

Which apps does it work with?

Gmail, Google Calendar, Docs, Sheets and Drive, Outlook, Slack, Instagram business accounts and more than 1,000 others. You chat with it in your browser or from Telegram, WhatsApp, Discord, WeChat or Feishu/Lark.

Will it contact my customers on its own?

It is not meant to. The ready-made jobs ask it to save drafts and not send anything to customers, and it follows that instruction. But it is an instruction, not a technical lock: the email connection can send, so keep "don't send anything" in every email job you write and glance at your Sent folder now and then.

How much does it cost?

A 30-minute free trial with no card, then Lite at $3.99 a month or Pro at $6.99 a month (offer prices, regularly $5 and $10, the same when you renew). Local tax is added where it applies. Both plans include $1 of AI a month, roughly 100 everyday requests.
